  3. Board Member Commitment Form

    The expectations listed below describe your volunteer duties as a Board Member of Keep Odessa Beautiful.

    Please read the specific information of the expectations you are committing to and sign at the bottom:

    During my 2022 Keep Odessa Beautiful term, I make the commitment to:

    Attend the Annual Board Member Strategic Planning Session. 

    * Serve on one committee of your choice:  Don’t Mess with Texas Spring Sweep, Earth Day, Fall Sweep, Odessa Recycles or any KOB fundraising event.

    * Attendance at Board meetings held every third Thursday of each month.  No board meeting in December, due to board retreat.

    • January and February – via email or virtual
    • March – in person meeting at 5:30 p.m.
    • April and May – via email or virtual
    • June – in person meeting at 5:30 p.m.
    • July and August – via email or virtual
    • September – in person meeting at 5:30 p.m.
    • October and November – via email or virtual
    • December - retreat

    * If nominated as an Executive Committee member, attendance at the Executive Committee meetings held before in person meetings.

    * Pay the Board Member dues no later than January 1st

    * Solicit memberships year round and participate in grant seeking and fund raising efforts.

    * Resign if I cannot fulfill these expectations.                   

    Attend the annual retreat/planning meeting  

    As a Board Member, it is important that you participate in planning the organization’s future.  During this planning session, the organization’s mission is reviewed and goals are set for the following year.  All Board Members are expected to attend the entire session which is approximately 2-3 hours and held in December.  

    Committee & Event Participation

    Each Board Member is expected to actively participate on at least one committee for event you choose to participate.  Active participation includes attend meetings, participate in discussions and decisions at meetings and actively support any special event sponsored by the committee.  Board Members will sign up for the committees of their choice at the Annual Board Member Retreat/Planning Meeting.  

    Event Participation

    Each Director is expected to actively support at least two events.   KOB events include:  Don’t Mess with Texas Trash Off, Earth Day, Make a Difference Day Fall Cleanup, Texas Recycles Day or any other fundraising event that KOB decides to do.

    Attend Board Meetings

    There are eleven Board Meetings during the year.  The Board does not meet in December.  Attending the majority of these meetings on scheduled days is one of the most important Board Member expectations.

    Make a Personal Donation/dues

    Each Board Member is expected to make a personal, financial commitment.  There is not a set amount to give; however, all board members are required to pay dues.   

    Solicit Memberships

    KOB is dependent on private donations and Board Members are expected to raise the necessary funds.  Board Members are asked to submit names for potential donors they will solicit and they are given an opportunity to select new and renewal prospects.

    Participate in Grant Seeking/Fund Raising

    Each Board Member is expected to actively participate in grant seeking and fund raising for the administration of Keep Odessa Beautiful programs.

    Resign

    Unexpected things change in our lives and the time we have to volunteer in community events.  Board Members are encouraged to resign if unable to fulfill the commitment to the organization.  Board Members are also encouraged to return to the organization at their time of convenience.
